As a Production Coordinator, you will be part of a team that is responsible for elevating and reflecting core brand values across the Editorial and Commercial video department. This department provides exciting and engaging content for all 11 of our wholly owned markets, 17 licensee partners and across all Condé Nast brands. We are looking for an experienced Production coordinator, who has a detailed eye, working with the creative teams and internal/external stakeholders to find innovative (but workable) solutions. Tons of energy and a great team spirit are a must! Key Duties & ResponsibilitiesMaintain relationships and negotiate rates with the leading agencies for all creative services including video directors, models, hair and make-up artists, set designers, locations and propsCoordinate end-to-end production and creative workflow processes to enhance and increase efficiency and quality of deliverablesEnsure music licensing and usage is cleared for all content within legal boundaries.Management of freelancers and onboarding new startersWorking with internal and external producers in local markets to coordinate pre production processes During filming, duties include: Overall smooth running of location/studio, coordination of all logistics including talent and client, green room, catering, managing the talent, crew on set/location.Ensuring all final assets are updated and filed correctlyMaintaining orderly job folders and planning documentsFinancial reconciliations and reporting of all shoots Processing invoices in a timely mannerSupport the post production team with schedule creation, asset delivery communication, coordination of translation servicesHandling subtitle and copy translation with 3rd party vendorsEnsuring schedules and deliveries are on time, taking proactive measures when neededEssential Skills & RequirementsPre-production including sourcing, casting and booking creative talent, locations, production teams, styling, travel bookings and estimating costsResearching new talent and keeping a close eye on models used by competitors. Compiling an extensive database of models, production resources and creative talent. Managing database of talent, rates, usage rightsTrouble-shoot and use one’s own initiative to provide solutions when schedule or plans change due to delays or scope change, with focus on managing risk and expectationsSound knowledge of media law, legal considerations for new platforms and experience working with video editors, editors and designersEnsure contracts, permits and agreements are in place pre-production and filed at completion of project, or renewed as required.A strong team player who is engaging, enthusiastic, positive and has a good sense of humour with interest in developing relationships with colleagues on all levelsAbility to meet tight deadlines and drive the productions, always with grace under pressureExcellent attendance and time management skills with the ability to multitaskA natural problem solver - ability to think clearly and calmly when faced with issues or under pressure and be diplomatic.A strong organiser, efficient worker who is detail oriented and methodicalExperience producing short-form stories from start to finish with quick turnarounds
