    This position manages the administrative, financial, and human resource documentation for an active academic performing arts production program. In addition to traditional academic office management duties, this position is responsible for publicity and box office operations, coordination of access to multiple facilities for students, faculty and guest artists, assisting with oversight of facility maintenance and providing robust financial tracking for a producing department. This position is responsible for arranging travel and coordinating multiple events in multiple venues throughout the academic year.Essential Functions:Financial tracking: Assist with development and supervision of production budgets (including some facilities and artistic expenses). Keep the Chair, Designers, and Director apprised of the status of theDepartmental/Production budgets on a regular basis. Process, track and reconcile all production department accounts payable items and semester student payrolls. Oversee inventory restocking of office supplies. As rental liaison, oversee all scene shop and special equipment rentals. Research publishing agreements and comply with producing guidelines.Scheduling and facility access: In collaboration with Faculty, Artists and Directors, develop season schedule for all mainstage and expanded programming. Develop and administer production calendars and deadlines for each production. Assist with development of tech schedules for the stages. Manage resource calendars for all shared facility spaces. As requested, attend design and production meetings. Facilitate clear communications throughout the production process, and act as a liaison between directors, designers, stage managers, students and administrative staff. Maintain department contact information and show rosters. Train employees and students using set guidelines for access to all venues. Issue and track all facility keys. Authorize all card swipe and other facility access.Office management: Train and supervise student workers including student office assistant, media assistant, box office, front of house, etc. Manage paperwork for student workers in costume studio and scene shop as well as (potentially) Dana and other research assistants. Assist faculty with filling financial reports to Research and Development as a means of insuring accuracy and timeliness. Assist with day to day operations of the office which includes but is not limited to working with the copier, office computers, mail service, library reservations, course evaluations, etc.Facility maintenance and safety: Negotiate and supervise service contracts including Costume Studio and Scene Shop equipment, janitorial and HVAC maintenance and utilities for The Site dance studio, The Cubiculo, Montgomery House, and Mathers Theatre. Responsible for assisting with the general upkeep of the facility through making facility requests. Assist with the maintenance of a safe workplace in compliance with OSHA, ADA and Building Fire Codes. Serve as a departmental safety representative responsible for addressing any safety hazards or safety infractions and following up on any hazard reports with Dickinson’s Safety committee. Works with Technical Director and Costume Studio manager to keep First Aid kits stocked for all venues. First responder for the American Red Cross certified CPR/AED with Anaphylaxis and epi auto-injector/Adult first aid and ensure all faculty and staff are familiar with lock down/Active Shooter emergency procedure policies. Serve as first contact for Facilities, Public Safety, and non-campus law enforcement when needed.Publicity and box office management: Plays a leading role with the development and publicity of each performance. Develops marketing and audience engagement initiatives by acting as Media (Social Platforms) and Public Relations contact. Plus arranges all photo shoots and videography. Strengthens the relationships with Carlisle community businesses, patrons, donors, and other campus departments by offering complimentary tickets or preview viewing of productions, among other things. Oversees the development of posters, programs and social media posts, tweets, and videos. Create events within ticketing software. Responsible for maintenance of system and training of student workers. Supervise the box office each night of performance. Expected to have excellent proven customer care skills and responsible for the look of the foyer and front of house displays. Monitor the Box Office account by tracking auto deposit from online sales, collecting and depositing all monies from internal sales, and collecting box office totals.Supervise organization of post-production events such as receptions, end of year banquets, etc.Co-ordinate departmental travel/guest artists: Purchase tickets from various professional Theatres and acquire transportation; Fleet, Rohrer, Elite Coach for 3+ field trips a semester and numerous conferences. Complete required setup on the Field Trip System, keep sign-up sheet and payment records, count and deposit funds during process and enter amounts into Quicken budget system for comparison to Banner. Run reports from Field Trip System, gather critical emergency numbers and info, and give to Faculty before the start of each trip. Also, manage frequent vehicle requests for everyday travel to support productions including flatbed truck, Enterprise rentals and Dickinson College’s Fleet system. Manage access to the department truck. Responsible for HR documentation for visiting artists and other guests, including but not limited to: prepare contracts, collect tax forms, process and sign timesheets and handle the initial paperwork for Workers’ Compensation for all production department-related claims. Help secure housing and accommodations for visiting guest artists. Serve as a reminder for all mandatory HR training.
