Through values of Diversity, Integrity, Responsibility, Excellence, Compassion, Creativity, and Teamwork (DIRECCT) the U community works together to create an environment driven by purpose, excellence, community, and service.The Frost School of Music has an exciting opportunity for a full-time Manager, Music Administration to work in Coral Gables, FL.Job Functions:Ensures that all Frost facilities (other than concert halls and recording studios) are maintained to the professional standards expected at a top tier music school.Manages student instrument lockers, including the process of assigning lockers and collecting locker fees.Manages the operations of our practice room facilities (the Foster building and several other spaces), including supervising any staff or student monitors.Manages the access given to faculty, students, and staff for all Frost facilities, including electronic and keyed access.Manages inventory and lending of Frost owned instruments, working with program directors to facilitate the lending.Manages inventory, use, purchasing of, and maintenance of furniture and non-technical equipment (e.g., music stands, music chairs, classroom desks/chairs, office furniture, etc.) used in all Frost facilities.Oversees and maintains signage posted around and in all Frost facilities.Assists with providing urgent technical support to users of the technology in FSOM classrooms, rehearsal rooms, labs, and conference rooms.Coordinates and collaborates with university facilities department on all building maintenance and cleaning activities.Works closely with university facilities project managers on all Frost facility projects to ensure requirements are properly communicated and met.Liaises with the university police department regarding security and monitoring services.Manages the budget for the Administration department, including ensuring revenues and expenses are recorded correctly and reviewed regularly.Prepares and enters financial postings related to Administration activities in our finance system, prepares financial deposits, and runs reports on a recurring and ad-hoc basis.Supervises student workers hired to assist with Office of Administration activities.Assists with the Office of Administration website and communications. Assists with the development of emergency management and academic continuity plans.Assists the Associate Dean of Administration with all operations activities as needed.This list of duties and responsibilities is not intended to be all-inclusive and may be expanded to include other duties or responsibilities as necessary.EducationBachelor’s degree required, preferably in a performing art field (music or theater)Experience Minimum of 3 years of relevant experience, 4-5 years of experience in operations, working in a music, theater, art or educational organization preferredBackground in musicExperience in a supervisory roleExperience serving a part of a management teamSkills neededStrong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.Outstanding organizational skills and attention to detail.Expertise in Microsoft Word, Excel, PowerPoint, and Outlook.Familiarity with other Microsoft Office tools, like FindTime, Bookings and Forms.Ability to learn to use new business software quickly and accurately.Ability to supervise and train staff, including organizing, prioritizing and scheduling work assignments.Ability to work both independently and as a member of a teamAbility to maintain accurate paper and electronic records.Flexible schedule to accommodate early morning, evening, or weekend work.
