    Special Events is seeking a Box Office Supervisor to manage multiple Box Office Operations and staff for Williams Theatre, Kettler Hall, Rhinehart Music Center, selected off campus venues and other venues on campus as needed.  This position will be responsible for selling season tickets and/or single day tickets via phone calls or face-to-face interactions. This is a fast paced, event driven, customer focused environment.  Responsibilities include:Provide and maintain high levels of customer service to the campus and to the external community, and serve as a resource for campus for Event Information. Advise patrons of PFW Special Events policies and procedures.  Respond to customer needs to ensure satisfactory service.  On site resource for clients/guests during their events. Making first level decisions regarding customer service issues.Preparation and execution of Ticketing Agreements for National Acts and post show ticket sale audits for settlement.Work with Clients to determine scope of events, plan and coordinate events with client with regards to ticket sales and on campus advertising, assist clients as needed with off site ticket sale coordination.  Preparation of ticketing agreements with national and local promoters as well as campus personnel.  Tracking ticket sales, season memberships, comp ticket usage, patron attendance and providing reports to department chairs. Audit and track Rave Movie Ticket Sales.Responsible for daily ticket audits in SAP system.  Print reports from ticketing system, verify income (cash, checks, credit) against report.  Investigate overages and shortages and determine cause/effect.  Work with Business Managers to provide daily reports and income.  Correct sales and cash handling procedures as necessary and as directed by Purdue Policies and business manager to avoid audit problems. Maintain thorough understanding of the University's Credit Card system and cash handling policies. Prepare daily CRV deposits for Music, Theatre, and Special Events using appropriate account numbers. Arrange secure transport of the funds through University Police.  Work with Bursar’s Office and Business Managers to ensure smooth operational flow. Maintain well organized and thorough files with copies of deposits and daily audits with full explanations of any irregularities in preparation for internal and/or state auditor review.  Complete the daily deposits through the CRV System and provide documentation as requested. Responsible for maintaining security of the box office and maintaining change funds.  Audit amount in change funds daily and initial log.  Serve as custodian for change funds. Maintain TicketReturn (or current) ticketing system, including setting up ticketed events, and contacting TicketReturn(or current vendor) with any problems or questions, checking ticket rates for approvals and notifying business manager of any discrepancies. Processing requests for tickets and processing Season Subscriptions. Ordering and maintaining ticket stock and other box office supplies. Selling tickets and processing registrations for special events.
