    Administrative Assistant who has superior attention to detail, great organizational skills, the ability to meet tight deadlines and juggle multiple critical requests. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is important. Must be very efficient and highly attuned to the smallest of details, as well as being able to multi-task and work on tight deadlines in a high-pressure environment is crucial. A “can-do” attitude is essential.How you’ll CREATE:Provide administrative and operational support to EVP and the departmentArrange meetings and conference calls via telephone and emailManage complex and fluctuating schedules, including scheduling meetings, coordinating calls – both domestic and international, prioritizing calendars and follow upCoordinate and book complex and frequent travel, accommodations, & car services; prepare itinerariesCoordinate and prioritize incoming verbal and email requestsMaintain a strong working knowledge of employees, and important external contactsExercise discretion when patching calls, rolling calls, and interrupting meetingsRegular meeting prep, coordination, and notesAssist with organizing events, create newsletter/announcements, managing project deadlines, including keeping organized status reportsAssist with company’s CSR program, including the Universal Music All Together Now FoundationTrack press releases, coordinate announcement scheduling and compile press clipping reportsCreate and send grammatically/punctually correct internal/external company communicationMonthly expenses, reconciliation, and processing such as travel & entertainment expensesManage and oversee department quarterly budgets including processing invoices and vendor set upAdditional duties as assignedHow you’ll VIBE:Bachelor’s Degree preferredMinimum 1 year of experience as an Administrative Assistant, and/or previous intern experience at PR agencies, in-house communications departments or media outletsMinimum 1 year of experience booking travel, calendar managementKnowledge and interest in public relations, communications, press/media outlets, and music industryExtreme discretion with sensitive informationAbility to interact comfortably and effectively with employees of the company at all levels including Senior Management and senior-level clientsAbility to interact comfortably and effectively with external partners and clientsHigh attention to detail, excellent follow-through, problem-solving and organizational skillsSelf-motivated, proactive, and resourcefulExcellent follow-through and attention to detailFlexible – able to adjust to changing priorities, and able to multi-taskExcellent customer service skillsExcellent organization and time management skillsExcellent written and verbal communicationStrong proficiency and working knowledge of Microsoft Office ProductsProficiency in Adobe Photoshop, Final Cut, Keynote.
