    Overview and Responsibilities

    This position is responsible for supporting Senior Vice President Facility Services, Vice President Energy & Engineering, Executive Director Planning & Development, Executive Director Property Services and Director Facility Services.

    Responsibilities to include, but not limited to:
    * Develops and/or maintains databases, distribution lists, mailing lists and filing systems
    * Prepares and tracks expense reports and purchasing requests for supplies
    * Manages two meeting room calendars
    * Manages executive’s calendar and schedule/coordinate daily meetings and appointments, assists in managing the executive’s timely arrival to meetings
    * Arranges travel plans and itineraries and compiles documents for travel-related meetings
    * Answers and screens a high volume of phone calls and email, taking action when appropriate and following up
    * Prepares agendas, notices, minutes, and resolutions for meetings
    * Composes and prepares confidential correspondence, reports, presentations and other documents
    * Creates and maintains databases and spreadsheet files
    * Performs additional administrative duties such as filing, typing, and copying documents
    * Greets scheduled visitors and conducts to appropriate area or person
    * Maintains inventory and orders supplies and business cards for the department
    * Tracks on-boarding and off-boarding and updates floor plans accordingly
    * Acts as the backup support to Coordinators within the department
    * Assist in additional tasks as assigned

    Basic Qualifications
    * Minimum 5 years related experience
    * Proficiency with Word, Excel, PowerPoint and internet software

    Additional Qualifications
    Desired skills:
    * Bachelor’s Degree
    * Familiar with a variety of industry concepts, practices, and procedures
    * Excellent written, verbal, and interpersonal skills with the ability to interface with staff, other administrators, internal and external customers and senior management
    * Organized and detail oriented with the ability to manage multiple high priorities
