  • Project Details
    The Office Manager/Administrative Assistant is responsible for all front office activities including directing and coordinating all office services and facilities. They are responsible for all purchase orders, including office supplies, amenities, office equipment, etc. This person will act as the liaison with outside vendors and clients. They will also be responsible for a wide range of administrative and executive support-related tasks for senior management. He or she must be well-organized, able to work independently with little or no supervision, be flexible and enjoy the administrative challenges this position entails.  The Office Manager/Administrative Assistant will have the ability to interact with staff in a fast-paced environment, sometimes under pressure, while remaining proactive, resourceful and efficient with a high level of professionalism. Confidentiality is crucial to this role. Expert-level written and verbal communication skills, strong decision-making ability and attention to detail are vital to success.  Job Functions:  Acts as the liaison between various Live Nation teams to accomplish a variety of company tasks; including but not limited to contact with senior management, colleagues, and clients to facilitate work and also meet objectives in a collaborative effort.  Answer phone calls, respond to internal and external requests for information, and follow through to ensure requested actions are taken or completed promptly and efficiently Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner Organize expense and petty cash receipts  Manage incoming/outgoing mail and packages Performs general office duties including the purchase of ongoing supplies and managing the accounting of such purchases for distribution among the venue departments Assist with preparation of presentation materials, review and summarize miscellaneous reports and documents Prepare schedules for vendors performing venue maintenance such as pest control, landscaping, restroom cleaning, and dumpster service; ensure service is being completed per scheduled day and time Research information and provide data entry Process Ticket Request Forms for various shows ticket ordered when fulfilled for outside sources as a professional courtesy.  Maintain physical and electronic show files that contain confidential information (e.g. incident reports, financial reports, etc.)  Maintain visitor log, key log, and venue credential log Plan office events including small internal office gatherings to commemorate special occasions/events Other duties as assigned Qualifications:  College Degree preferred but not required Minimum 2 years prior experience in customer service Strong computer skills, extremely well-versed in Excel   Professional-level writing, grammar and spelling skills Excellent communication skills and professional phone etiquette  Ability to work both independently and collaboratively in an extremely fast-paced environment Must be able to handle confidential and sensitive material with the utmost discretion The ability to multi-task, organize, and meet tight deadlines Proactive team player with positive attitude
